Oxara CMS uses plans and licences to control access to features, limits, billing, and tenancy access. This page gives a simple overview of how plans and licences work.

Core is the recommended plan for most active communities. Premium is best for communities that need advanced workflows, higher limits, and deeper control.

How licences work

A licence gives a tenancy permission to use Oxara CMS under a specific plan. A licence may control:
  • Whether your tenancy can access Oxara CMS
  • Which plan is active
  • Which features are available
  • Which limits apply
  • Whether billing is active, expired, cancelled, or restricted
  • When access starts or ends
A licence is linked to a tenancy, not an individual staff member. Staff access is managed separately through roles and permissions.

Trial access

Oxara may offer trial access to some users or tenancies. Trial access lets you test Oxara CMS before moving to a paid plan. Trials may include limited features, usage limits, or a fixed end date. When a trial ends, your tenancy may lose access to some or all Oxara CMS features unless a paid licence is activated.
Trial availability, length, and included features may vary.

Licence status

Your licence may have different statuses depending on your account, payment, or access state.
If your licence is expired, suspended, revoked, cancelled, or past due, your tenancy may lose access to some or all Oxara CMS features.

Renewals and billing

Some licences may renew automatically depending on the plan, billing method, and agreement in place. If your licence renews automatically, billing may continue until the licence is cancelled or changed. If your licence does not renew automatically, access may end when the licence expires unless it is renewed manually.

Changing plans

You may be able to change your plan depending on your current licence and available options. Changing plans may affect:
  • Feature access
  • Usage limits
  • Billing amount
  • Renewal date
  • Support level
  • Integrations
  • API or webhook access
Some changes may apply immediately. Others may apply at the next billing cycle.
If you are unsure which plan you need, contact support before changing your licence.

Cancelling a licence

Cancelling a licence may stop future renewals and may affect access to Oxara CMS. Depending on your licence, cancellation may take effect immediately or at the end of the current billing period. Before cancelling, check whether you need to export or save any important data.

Failed or overdue payments

If a payment fails or billing becomes overdue, your licence may become past due. When this happens, Oxara may:
  • Notify the tenancy owner
  • Ask for payment details to be updated
  • Retry payment where supported
  • Temporarily restrict access
  • Suspend or expire the licence if the issue is not resolved
If you believe there has been a billing mistake, contact support as soon as possible.

Licence restrictions

Oxara may restrict, suspend, or revoke a licence where reasonably necessary. This may happen if:
  • Billing is overdue
  • The licence has expired
  • The licence has been cancelled
  • The tenancy breaches Oxara policies
  • Oxara detects misuse, abuse, or security risk
  • The licence was issued incorrectly
  • Access needs to be restricted for legal, operational, or security reasons
Licence restrictions are handled in line with applicable Oxara policies and terms.

Billing responsibility

The tenancy owner is usually responsible for billing, licence management, and plan changes. This may include choosing a plan, managing renewals, updating billing details, cancelling licences, and requesting billing support. Staff members may not be able to view or manage billing unless they have the required permissions.
